About the role
Mindioo is an AI-powered marketplace and operating system for the personal growth industry. We connect people with practitioners, coaches, holistic therapists, spiritual guides, wellness professionals and personal growth creators.
Our platform helps people discover and access personal growth services, while giving practitioners tools to grow and manage their businesses.
After three years of development, Mindioo launched in October. As we move into our next phase, we want to build a lean, efficient and highly automated company from day one.
We're looking for a hands-on AI and automation specialist to help automate our internal operations, connect our systems and use AI to reduce repetitive work across the business.
As our AI & Automation Lead, you'll identify operational bottlenecks, design automated workflows and implement practical solutions using AI, integrations, APIs and automation tools.
Your goal is to help Mindioo operate efficiently without building a large team or relying on unnecessary manual processes.
You'll work across the company with the founder, CTO and COO, taking ownership of automation projects from identifying opportunities to implementation, testing and ongoing improvement.
Mindioo is pre-revenue and preparing for a pre-seed funding round. We're building a lean operation and want automation to be a core part of how the company functions as it grows.

Responsibilities
Operations & workflow automation
- Review internal processes and identify repetitive tasks that can be automated.
- Build and maintain workflows that reduce manual work and improve operational efficiency.
- Connect business applications and systems through APIs, webhooks and integrations.
- Automate administrative tasks, internal reporting, reminders, notifications and routine coordination.
- Document workflows and ensure automations are reliable, maintainable and scalable.
AI tools & agents
- Identify practical use cases for AI assistants, agents and LLM-powered workflows.
- Implement AI solutions for research, information processing, classification, summarization and routine decision support.
- Evaluate tools based on business value, reliability, security and cost.
- Introduce appropriate human review and fallback processes where automation can make mistakes.
- Keep up with relevant AI capabilities and recommend improvements when they offer clear value.
Marketing & sales operations
- Work with the Growth & Revenue lead to automate lead research, prospect organization and sales pipeline workflows.
- Streamline content production, campaign workflows, publishing processes and performance reporting.
- Automate routine follow-ups, internal notifications and recurring reports.
- Build systems that help the team manage outreach and marketing activities efficiently.
Provider & customer operations
- Identify opportunities to automate provider onboarding, profile completion and product submission workflows.
- Explore AI-assisted customer support, FAQs, knowledge bases and ticket routing.
- Reduce manual handling of routine provider and customer requests.
- Collaborate with the product team when operational automation can be improved through platform features.
Systems, security & measurement
- Maintain a prioritized automation roadmap based on time saved, cost reduction and business impact.
- Monitor workflow performance, failures and data quality.
- Apply appropriate access controls and protect confidential business and customer information.
- Measure results and continuously improve existing automations.
- Coordinate with the CTO when projects require changes to Mindioo's core product, backend or infrastructure.
Who We're Looking For
- A practical problem-solver who enjoys building systems and making businesses more efficient.
- Experience building workflow automations, integrations or AI-powered solutions.
- Familiarity with APIs, webhooks, data structures and connecting applications.
- Experience using LLMs, AI assistants, agents or AI APIs in practical workflows.
- The ability to turn an operational problem into a working technical solution.
- A strong understanding of testing, reliability, troubleshooting and data security.
- An independent, resourceful mindset and the ability to work with limited resources.
- Experience with tools such as n8n, Make, Zapier, Python or similar technologies is valuable; you don't need to know every platform, we value your ability to select the right tools and deliver working solutions.
- Experience in startups, SaaS or small businesses is an advantage.
- This is not a pure research or machine-learning role. We're looking for someone who can apply existing AI capabilities and automation technologies to solve real business problems.
What We Offer
Equity participation
- This is an equity-based opportunity with no cash salary available before funding. The equity package will reflect your experience, technical capabilities, commitment and responsibilities.
- Equity is expected to vest over four years, with a one-year cliff and monthly vesting thereafter.
